Part-Time Event Assistant

Reports to: Venue Owners, Amber & Samuel Fullah

Classification: Part-Time, non-exempt (weekends required)

Pay Rate: $15-18/hour DOE

Job Overview: The Event Assistant provides a transformative guest experience, offering specialized attention to detail for all of Vibe Venue’s event space rentals, social events, etc. This position works with all departments at Vibe Venue including preferred vendors & Vibe community ambassadors.

Duties and Responsibilities:

  • Provide outstanding customer service to our guests and clients, prompt response time to email and phone call inquires, as well as possessing excellent interpersonal skills

  • Communicate professionally and thoroughly with rental clients from the point of inquiry through follow-up procedures (inquiry, correspondence, tours, contracts, payments, planning, vendor communications, diagramming, rehearsals, managing security deposits, thank yous)

  • Manage and oversee event day logistics including welcoming guests, directing event set-up needed, communicating and organizing vendors as needed, managing clean up and lock up of the venue, and creative problem-solving

  • Assist with event design preparations, consultations, setup & tear down as assigned by owners

  • Work with vendors to assure event setup and tear down logistics follow the rental agreements

  • Attend scheduled event logistics meetings

  • Work collaboratively with the other events staff to help assure needs of the events are met

  • Plan and implement marketing strategies for increased rental potential

  • All other duties as assigned

Requirements:

  • Ability to relate to persons of all ages, diverse backgrounds, skills, and abilities

  • Excellent communication skills, written and verbal (phone and in person)

  • Problem Solving Skills – being able to come up with a solution in the moment for the best outcome

  • Be able to prioritize and multitask several duties during the day of an event or rental

  • Candidates must have strong organizational skills, attention to detail and be comfortable working with the

    public in both organized and informal situations

  • Ability to work a flexible schedule, including some evenings and weekends

  • Strong event planning and tracking skills

  • Proficient in Microsoft office Suite as well as ability to learn operations management software, experience

    with event management software such as HoneyBook is a plus

Qualifications:

  • Experience with event planning is preferred, but not required

  • High school diploma

  • Must have a valid Ohio Driver’s License

  • Must pass a background check

  • Must pass drug test
